OVERVIEW

IPeople Offline

 

 
  IPeople Offline Views is an intuitive and economic solution that provides quick and reliable access to your HCIS data during planned or unplanned downtimes.
Organizations can view accurate patient critical clinical information and financial data through secure and user-friendly web-based views. These web-based views feature patient searches based on multiple options and present clinical views of critical patient data such as orders, results, vital signs, EMAR, and allergies. The solution features include:
MPI Search


 

IPeople Offline provides multiple search options for finding a patient. You may search for patient's by name, medical record number, account number, date of birth, social security number, location, and gender. In addition, you may perform searches for inpatients versus outpatients and current inhouse patients versus discharged patients.

Physician Rounds Report

Find your patients by utilizing the physician rounds report. This option displays patients assigned to a physician or to a physician group. The view presents a listing of patients with details and hyperlinks to quickly access the Offline Views for a selected patient.

Batch Print

Having the data available to you from your HCIS system when your system is down is important, but being able to quickly create, save or print a patient’s entire legal medical record is critical! The Batch Print add-on for Offline Views allows users to quickly generate patient’s legal health records in report format. This information can be used to transfer patients from one hospital to another, satisfies Release of Information requests, and more.

The Views

Organizations can view accurate patient critical clinical information and financial data through secure and user-friendly web-based views. These interactive web- based views present clinical views of critical patient data such as orders, results, vital signs, EMAR, and allergies.

Security

IPeople Offline Views provides the following security authentication methods:

 

·         HCIS: Login using your HCIS user credentials

·         Windows: Automatic login using Windows credentials

·         IPeople Security: Login using user credentials created using the IPeople Security Manager

·         Offline Views support devices similar to that of MEDITECH. MEDITECH users flagged as "Restricted" are given access to patients in locations based on the terminal they are logged into.

Audit Trails

Easily access all activity within IPeople Offline including which users accessed which patients and views.

 

 

Getting Started Introduction

IPeople Offline Views is a convenient tool for seeing your patient data by encounter,

or visit, when your HCIS is offline or archived. The product is not an exact replication of your HCIS and may not contain every detail of the data you are seeking. Instead, it contains the commonly used data.

Why do I see some views but not others?

Your facility contracted the IPeople Offline Views that were thought to be most helpful in the event of an HCIS downtime. If you believe you are missing important data, please contact your IPeople Sales Representative.

How “fresh” is my data?

If your IPeople Offline Views is a downtime solution and not a migration, synchronized on shows the date and time stamp of the most recent synchronization. This label appears in the header throughout the application. Additional details about the last synchronization time of each view, table, and field are available in Download History.

 

Launching the Solution

Launch the IPeople Offline from your site’s identified Offline URL: http://yourofflineserver/ioffline . If you do not know the URL contact your hospital IT department or hospital helpdesk.

 

 

Logging into IPeople Offline

When the program opens in your browser, enter your username and password when prompted. If you are prompted, choose your domain and click the available Login option. If your organization is set up with Active Directory synchronization, then you may not be prompted for a username and password. Instead the solution can automatically log you in


 

based on the user currently logged into the computer. If prompted for the login credentials, then please enter the below information:

 

·         UserName: Enter your Meditech, Windows Active Directory Account, or IPeople username

·         Password: Enter your Meditech, Windows Active Directory Account password, or IPeople password

·         Domain: This field may appear on your Log In page. Choose the domain for your IPeople Offline Views. Check with your administrator for which domain to choose. Often it will be IPeople.MEDITECH.LIVE for a downtime system.

 

After successfully logging in, IPeople Offline View opens to its initial Patient Search page. If your IPeople Offline Views is a downtime solution and not a migration solution, you may see a default list of current inpatients on this page. Contact IPeople Technical Support to change the default to a different set of patients.

 

·         NOTE: MEDITECH credentials are synchronized in IPeople Offline every hour for a downtime system.

·         TIP: If you are unable to successfully login, contact your facility’s IPeople Offline Views Security system administrator.

 

 
 


 


 

Navigation Within the Views Navigation

Within the views, most of the navigation techniques are intuitive. A handful require

additional explanation.

 

Collapse and Expand Sections / Groups

 

For many views, you will see a plus sign (+) or a minus sign (-) next to a column. This can be used for grouping in order to expand or collapse a group of information. In addition, for some views this is used to expand a section in order to see additional details.

 

·         Example of expanding and collapsing a group of information:

From the Lab Results view, all test results are grouped by category and by default all grouped results will be expanded. When the information is expanded, a minus sign (-) will be available allowing users to collapse the information. If information is collapsed then a plus sign (+) will be available allowing users to expand the information. You may collapse any category by clicking on the minus sign (-). At that time, the information will not be collapsed so that you only see the category name but not the test results contained within the category. You may expand the grouped information by clicking on the plus sign (+).


 

·         Example of expanding or collapsing a section providing additional details for data that is presented:

From the Medication List view you can click on the plus sign (+) for any medication in order to view additional details regarding the medication.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Sorting Features

 

For most views, you may sort any column using the Sort indicator that is available from the column name. Click on the indicator the column in either ascending or descending order.

 

 
 


 

 

 

 

Hyperlinks

 

Hyperlinks are available for many of the views allowing users to drill into additional details. Within a summary level view, roll over bold and/or underlined text to confirm whether it is a hyperlink. Click the hyperlink to open a detailed level view. The view is often a report.

 Example hyperlink: From the Order History view, hyperlinks are available for any order where there are CDS questions and responses associated to the order. For applicable orders, the hyperlink is bold and underlined for the data displayed in the Procedure Name field.

 

 
 


 

 

 

 

Report NNavigation Toolbar

 

Within the report view, use the report navigation toolbar to perform the below functions:

 

·         Click the Back button on the navigation toolbar to return to the summary level view. Do not use the browser’s Back button.

·         Click the Refresh button button on the navigation toolbar to refresh the view of the report. Do not use the browser’s Refresh button.

·         Navigate between multiple pages within the report by clicking these buttons when they are active: Next Page, Last Page, Previous Page, and First Page. Or type the page number to go to inside the Current Page field.

·         Zoom by selecting a different magnification from the Zoom dropdown list.

·         Search for an exact text match by typing the text in the ‘Find Text in Report’ field and then click Find. To continue searching after the first match, click Next.

·         Click the Export Dropdown List button to export the report. Keep in mind what you export contains PHI and take precautions to secure the exported


 

file(s).


 

FINDING YOUR PATIENTS

MRI Search

STEP 1: Accessing the MRI Search

By Default you are automatically presented with the MRI Search form. The search form may also be accessed from any Offline View by clicking the “New Search” option that is always available on the top right menu on the Offline form. Note: This option can also be thought of as a Refresh button as clicking it returns you to the initial search screen and clears your search results.

 

 
 


 

 

 

 

STEP 2: Enter the Desired Criteria to Find Patients

Locate patients based on specific criteria. This view allows you to search for a patient or group of patients based on specific criteria. Search options are as follows:

 

·         Name: Enter the patient’s name. A wild card or partial name search is available. For example, you may enter a partial last name and partial first name in order to find all patients where the last name starts with the characters entered and the first name starts with the characters entered (EX: 'OM,IP' will find all patients where the last name starts with OM and the first name starts with IP).

 

·         MRN: Enter the patient’s Medical Record Number. By default, the search does not require the leading zeros to be entered.

 

·         Account #: Enter the patient’s Account Number. By default, the search does not require the leading zeros to be entered.

 

·         DOB: Enter the patient’s DOB (MM/DD/YYYY) (exact match search) or click the Calendar icon to select the date of birth. Click on the year title to see the entire year at a glance. Click the year title again to see decades at a glance. Use the left and right arrows to scroll between the years or months. Click on a date to select it.

 

·         SSN / PHN: Enter the patient’s Social Security Number (NNN-NN-NNNN) for US customers to find the patient with the specified SSN. For Canadian sites, this will perform a PHN search (personal health number).


 

·         Location: To specify a location(s), you may either type the mnemonic for the desired location in the available location field or you may take advantage of the available lookup.. To utilize the location lookup, click the '...' button to the right of the location field. A list of locations will be presented in the available lookup list, You may check the desired location by clicking on the checkbox to the left of the location's name. You may also check more than one location if you would like to perform a multi-location search. For example, many organizations have more than one ED location defined. You may check all

 

 
 


ED locations in order to find all patients currently in the ED department. As the locations are checked from the lookup, the mnemonic for the selected locations will automatically be populated in the location field.

·         Sex: Enter the patient’s gender by which to filter.

·         Patient Type: Check the patient type to include: Inpatient, Outpatient, or both.

·         Visit Status: Check the visit status to include: Current, Discharged, or both.

 

Note: The User must select one option from either the Patient Type and one option from Visit Status when searching by any criteria other than Account Number. Your site may have the default search options set to Inpatient and Current. When this option is available, the first 500 matching results will display. Add or remove filter criteria if the patient you are looking for is not in the grid.

Wildcards

If you know the partial name of the patient, type the name or a combination of wildcard characters and part of the name into the filter row.


 

The first letter or letters of a patient’s last name

 

·         smi

 

The first letter(s) of a patient’s last name followed by comma (,) and the first letter or letters of first name

 

·         smith,a

 

The end of a patient’s last name by using the percentage wildcard (%)

 

·         For example, if we typed %kins into the Name field, all patients with names ending in “kins” will appear. Only matching patients display in the results list.

 

STEP 3: Selecting the Patient

After entering the desired criteria and clicking the Search button, the patient search results will display in the grid. This results screen will display all Patient Medical Records that fit within the criterion selected. Click the patient name to access all available visits for the specified patient.

Note: If the solution is configured to access data from more than one HCIS system (Ex: Magic system and MEDITECH 6.1 system), then you will see the system where the patient resides in the DataSource column shown below.

 

 
 


 

Once the patient is selected, you will be presented with a list of visits for the patient. Click on the appropriate account number from the visit list to navigate to the IPeople Offline views.

 

 
 


 


 

Views Contracted by Your Site

Upon selecting the desired visit, the clinical and/or financial data for the selected patient’s visit will be displayed. The available views for each visit are based upon what has been contracted by your organization. If you feel something critical is missing, please contact your sales rep. For the purpose of the training session, all standard Offline views are included.

 

 

 

 

The Patient Header

The patient header will be displayed for all Offline views and will contain general demographic and visit details.

 

 
 


 

The header presents information such as the patient name, account number, medical record number, date of birth, gender, height/weight, visit status, admit/service date, attending physician, and location. In addition, the header includes a limited list of allergy information. If more allergies are available for the patient than are presented on the header, you may extend the allergies listing in order to see a full list of allergies (coded and un-coded) for the patient.


 

Physician Rounds Report

What is the Physician Rounds Report?

A physician can find their patients' easily by utilizing the available Rounds Report feature. This option presents the physician with a list of patient that are associated to the physician mnemonic. In addition, the physician may access a full listing of patients associated to the physician group, as applicable.

 

 
 


 

Accessing the Physician Rounds Report

Users with access to this function will see a menu item in the top right of the page called Patient Reports. This option displays a list of available report options, including an option for Rounds Report. This menu item is available from any page in Offline Views.

 

1.        Click the 'Patient Reports' option from the available menu options found in the top right corner of the Offline form and select "Rounds Report".

Select the desired facility from the available drop-down. The drop-down will display all facilities that the current user has access to (based on the solution security).

Select the desired physician from the available list from the 'Select Physician' field. Click on the down arrow for this field in order to access the list of physicians.

4.        After selecting a physician, a list of all patients associated to the selected physician will be displayed. You may click the available hyperlink for the Account Number field in order to access the Offline Views for the selected patient.

 

5.        Click the checkbox for the 'Include Physician Group' option in order to expand the list to include all patients associated to the physician's group. You may click the available hyperlink for the Account Number field in order to access


 

the Offline Views for the selected patient.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 
 


 

 

Note to Users

·         Click the available 'Print Rounds' button in order to print the current rounds report. Upon clicking the button, the print dialog box will be displayed allowing you to select the desired printer and the rounds report will print to the selected printer.


 

Search Scheduled Appointments

Search for Scheduled Appointments

The IPeople Offline solution includes the ability to find visits easily based on scheduled appointments. From the available form, you may search using a variety of options (the solution supports a combination of the available criteria) in order to find appointments that are scheduled for a specified timeframe. After specifying the desired criteria and performing the search, a list of appointments will be displayed. You may drill into any appointment in order to access details about the appointment. In addition, print functionality is available allowing users to print appointment lists.

Note: This option is only available if the Scheduled Appointments Offline Views is contracted for the organization.

 

 

Accessing the Search Appointments View

 

 
 


Users with access to this function will see a menu item in the top right of the page called Search Appointments. Click the 'Search Appointments' option from the available menu options found in the top right corner of the Offline form. Once this option is selected, you will be presented with the Search Scheduled Appointments form. The option to access this search form is available from any page in the Offline views.

 

 

 

Find Appointments Using Search Options

You can produce a list of patients with appointments during a specific time frame by utilizing the “From date” and “To Date” options to specify the date range. In addition, multiple search options are available in order to help find the desired appointments. The following search options are available:

 

·         Date Range: specify a date and time range in order to see all patients with scheduled appointments

·         Department: select a department from the available drop-down in order to see all patients with scheduled appointments

·         Resource: select a resource from the available drop-down in order to see all patients with scheduled appointments

·         Name - enter the name or partial name of the patient in order to find the available appointments where the patient name matches the criteria


 

·         DOB - enter the date of birth for the patient in order to find appointments where the patient's date of birth matches the criteria

·         SSN / PHN - enter either the SSN (for US) or PHN (for Canadian customers) in order to find appointments where the patient identifier matches the criteria

·         Account Number - enter the desired account number to find all appointments matching the criteria.

·         Sex - select the desired gender from the available drop-down in order to find all appointments where the gender matches the criteria

 

 
 


 

Once the desired criteria is specified, click the Search button and you will be presented with a list of appointments matching the criteria.

 

 
 


 

You may filter the list further, if desired, by entering text in the filter row for any of the available columns. Upon entering text in a column, the view will automatically filter to only include the appointments meeting the criteria.


 

View Appointment Details

Click the available hyperlink for the 'Patient Name' field in order to view details for any listed appointment. The following details will be presented:

 

·         Appointment Details: Presents details for the appointment including type of appointment, resource details, appointment date and time, insurance information, and more

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

·         Demographic Details: Presents details for the patient demographics including address, phone numbers, employer information, and more


 

·         Instructions: Displays scheduler and patient instructions

 

 

 

 

 

 

 

 

 

 

 

·         Appointment Queries: Displays CDS questions and responses associated to the appointment

 

 

 

 

 

 

 

 

 

 

 

·         Patient Queries: Displays CDS questions and responses associated to the patient. This tab will only be available for applicable versions of MEDITECH.

 

 

 

 

 

 

 

 

 

 

 

Note: Users may also click the available hyperlink for the 'Acct Num' field in order to launch the Offline Views for the selected visit.


 

Print Appointment Lists

From the main Search Appointments form, functionality is available to print the list of scheduled appointments. Enter the desired criteria and click the Search button to build the list of desired appointments. Once the results are presented, click the 'Print Results' button in order to print the appointment list to a PDF file.

 

 
 


 

After clicking the button to print the results, a PDF file will be loaded containing the list of presented appointments.

 

 
 


 


 

PATIENT/VISIT VIEWS

 

Allergies & Special Indicators

Description

The Allergies / SI view is a single view that displays both codes and un-coded allergies for the current patient as well as special indicators.

Note: The special indicators will only be available depending on the version of your HCIS system (if special indicators are applicable).

 

 

How to Use

Click the Allergies / SI menu item from the left panel.

 

 
 


 

Upon selecting the menu item, the allergies and special indicators (if applicable) will be presented for the current patient.

 

 

Summary View

The view displays a list of allergy information including the following:

 

·         Name of the allergy or adverse reaction

·         Type of allergy

·         Severity

·         Date and time when the allergy was documented

·         Verified status

·         Coded status

·         Reaction

·         Comments

 

If applicable based on the HCIS version, special indicators are also presented with the following information:


 

·         Name of the special indicator

·         Name of the user who last edited the information

·         Date and time when the information was last edited

·         CDS questions and responses associated to the special indicator

 

 
 


 

 

For the Special Indicators, you may expand any item listed in order to view the associated CDS questions and responses. Click on the plus sign (+) next to the left of the special indicator name in order to expand the details A new section will be presented with any custom defined questions and responses that are associated to the selected special indicator.


 

 

 

 

The Data

Emergency Contacts

Description

The Emergency Contacts view is a single view that displays the emergency contacts for the selected visit, including the Next of Kin and Person to Notify.

 

 
 


 

How to Use

Click the Emergency Contacts menu item from the left panel.

 

 
 


 

Upon selecting the menu item, the emergency contacts will be presented for the current visit.

 

 
 


 

Summary View

Scheduled Appointments

Description

The Scheduled Appointments view is a single view that contains a summary listing of scheduled appointments. For each appointment, users may expand the appointment information in order to view additional details including the insurance information as well as the resource information,

 

 

 

How to Use

Click the Scheduled Appointments menu item from the left panel.

 

 
 


 

By default, the list of appointments is ordered by the date in ascending order.

Navigation: Each appointment will have a plus sign (+) that is available in the 'Day' column. Users may click on the plus sign (+) for any listed appointment in order to view additional insurance and resource details.

Sort Options: You may sort the list of appointments multiple ways using the Sort indicator that is available for each column name. Click on the indicator to either sort the column in ascending or descending order.

 

 

Summary View

The summary view lists all scheduled appointments for the current patient. The view includes the following information for each appointment: date and time when the appointment is scheduled, duration, type of appointment, status, account number, patient type, location, and the reason for the visit.

Registration View

Description

Within MEDITECH’s EMR, users have the ability to view the registration information for a selected visit. The IPeople solution offers a similar view into this

information. The Registration view is a single view that displays information captured during the registration process including the following:

 

·         Patient and Visit information

·         Physicians

·         Discharge information

·         Guarantor information

·         Contact information

 

 

 

How to Use

Click the Registration View menu item from the left panel.

 

 
 


 

Upon selecting the menu item, the registration information will be presented for the current visit.

 

 

Summary View

The view displays the visit, physician, discharge, guarantor, and contact information captured during the registration process.


 

 

 

 

The Data

Clinical Data Screen Description

Within MEDITECH’s EMR, users have the ability to view the clinical data screen

details for the selected patient/visit. The IPeople solution offers a similar view into this information where the information from the EMR Clinical Data Screen Main tab is available. The view utilizes the HCIS dictionaries in order to present the custom defined questions and responses associated to the clinical data screen.

  Description
The Nursing Vital Signs view is a single view of the current days Vitals as the default view. The solution displays Vital Sign measurements in a simple table grid by date, ordered most recent to oldest. Offline Views’ summary screen displays one set of data per day and includes temperature, Capillary Refill, Pulse Rhythm, and Respiratory Effort fields. Description

How to Use

Upon accessing the view, the intakes and outputs will be organized by date / time where the most recent documentation is displayed first. To view earlier data simply click on the 'Earlier' link displayed to the left of the dates and times. To view more recent data click on the 'Later' link.

 

 

Summary View

Laboratory Results

Description

The Laboratory Results view is a two part view that contains (a) summary list of lab orders and results by date and time and (b) details for any lab order. The summary view is grouped by the type of order where each type can be expanded or collapsed as desired.

 

 

How to Use

Click the Lab Results menu item from the left panel.

 

 
 


 

Navigation: Upon accessing the view, all lab results will be grouped by the type of lab order. To expand any grouping, click the "+" in the first column where the type of test is displayed. To collapse the tests for any group, click the "-" that is available when the grouping is expanded. The view displays the results by date and time where the latest results are presented first.

Indicators: Indicators (highlighted in yellow) are displayed for any tests with high or low results. For example, if the patient's sodium level is lower or higher than the normal range, then the cell displaying the recorded results for that day/time will be highlighted in yellow. The cell will also include an "L" indicating that the result is low or an "H" indicating that the result is higher than the normal range.

Hyperlinks: Hyperlinks are available for each displayed result allowing the user to access additional details for any lab test. Click on the underlined result in the grid in order to access the details for a specific test.

 

 

Summary View

The summary view will list all lab results organized by date and time where the most recent results are displayed first.


 

 

 

 

 

Detail View

To access the details for any lab result, click the desired result. The result will be highlighted indicating that a hyperlink is available. Upon clicking the hyperlink, a new page will be displayed with the following details for the lab result: the date and time when the results were collected, the result, units, the normal range, and additional comments.

Description

The Blood Bank Results view is a two-part view that contains (a) summary list of the Blood Bank orders and (b) details displaying the reports for each order.

 

 

How to Use

Upon accessing the view, all Blood Bank orders will be displayed for the currently accessed patient visit.

To access the report details for any blood bank result, click the available hyperlink for the desired result. Upon clicking the hyperlink, a new page will be loaded showing the following details:

Medication List

Description

The Medication List view is a three-part view that contains (a) summary list of medications, (b) details for any medication, and (c) details for times when the medications were scheduled and administered.

 

 

 

How to Use

Click the Medication List menu item from the left panel.

 

 
 


 

 

Medication Details: To view the details of each medication click on the "+" in the first column for the desired medication and an expanded view will be presented with details including ordering physician, PRN reason, dose instructions, RX number, label text, start/stop/discontinued dates, DC comments, cancel comments, and canned text.

Administered Details: To view the details of when the medication was administered to the patient, click on the "+" that is available in the Last Admin/Dose column. A new section will be presented showing the scheduled time when the medication should be given. the administered date/time, the administered dose, the user, and the reason.

Sort Options: You may sort the list of interventions multiple ways using the Sort indicator that is available for each column name. Click on the indicator to either sort the column in ascending or descending order.

Filter Options:

 

 
 


 


 

·         By default, the view will present all medications regardless of the status of the medication. Users may filter the list of presented medications by status. In order to perform the filter, click on the combo box for the 'Select Status' field located at the top of the page. Using the available drop down, select the desired status and then click the 'View Report' button. The list of medications will be filtered accordingly. For example, select Active as the status in order to view active medications only.

·         By default, the view will present all medications regardless of the drug class. Users may filter the list of presented medications by drug class. In order to perform the filter, click on the combo box for the 'Drug Class' field located at the top of the page. Using the available drop down, select the desired drug class and then click the 'View Report' button. The list of medications will be filtered accordingly.

 

 

Summary View

The starting view will list all medications with summary information including the medication name, status of the medication, order type, whether the medication is discontinued, the last administered date and time, and the schedule and routing information.

 

 
 


 


 

Detail View

To access the details for the medication, click the "+" in the far left column for the desired medication. The view will be expanded with details specific for the medication including ordering physician, PRN reason, dose instructions, RX number, label text, start/stop/discontinued dates, DC comments, cancel comments, and canned text.

 

 
 


 

To access the administration details for the medication, click the "+" that is available in the Last Admin/Dose column. The Medication Snapshot view is a is a single view that will display home medications listed for the patient upon admission, medications prescribed during the admission, and medication orders continued for the patient upon discharge.

Note: IPeople Offline Views provides data pertaining to Home Medications ONLY, and not the fuller account of all medications and preferred pharmacy information.

 

 

How to Use

Click the Medication Snapshot menu item from the left panel.

 

 
 


 

You may select to modify how the information is presented based on the following:

 

·         Groups: by default the display will be grouped by Category but you can easily change this if desired. In the top section of the group, you will see the field 'Category' indicating that the view is currently grouped by this field. You can either drag the field to the grid area or click the 'x' to the right of the field in order to remove it from the group. Drag the desired field to the area in order to group the information by the field. For example, drag the 'Status' field to this area in order to group the listing by status.

 

·         Sort Options: You may sort the list of medications multiple ways using the Sort indicator that is available for each column name. Click on the indicator to either sort the column in ascending or descending order.

 

 
 


 

Summary View

The summary view lists all home medications associated to the current visit and includes the following information: category, medication name, status, start date, stop date, date when the medication was last taken at home, date when the medication was last confirmed, and the reconcile status.

Description

The MAR (Medication Administration Record) view is a single part view that displays a list of current medications for the patient visit. In addition, the views provides a section at the bottom of each report providing an area for the nurse to sign that the drug was given to the patient.

 

 

 

How to Use

Click the MAR menu item from the left panel.

 

 
 


 

 

Upon selecting the menu item, the MAR report will be presented allowing the user to view the details as well as export or print the report.

Print & Export Features: To print or export the MAR report click the Save icon that is available in the toolbar above the header information for the report. Upon clicking the icon, a list of options will be presented allowing you to perform the following actions:

 

·         XML file with report data: export the report data to an XML file

·         CSV (Comma delimited): export the report data to an CSV file in a comma delimited format

·         PDF: export the report data to a PDF file

·         MHTML (web archive): export the report data to an MHTML file

·         Excel: export the report data to a Microsoft Excel spreadsheet

·         TIFF file: export the report data to a TIFF file

·         Word: export the report data to a Microsoft Word document

 

In order to print the MAR report, select the PDF option from the list. The report will now presented as a PDF file. Select the print options from the PDF file in order to print to a selected printer. You may also save the PDF to a file if desired.

 

 
 


 


 

Summary View

The report begins with basic patient demographic details followed by the patient's allergies and then followed by the medication details. The details presented for each medication includes the drug name, dose, route, frequency, the start date and time, the next scheduled date and time when the medication should be next given to the patient, and the actual date and time when the medication was last given. A section is also available at the bottom of each page providing an area for the nurse to sign that the drug was given to the patient. The signature area provides signature lines for daytime, eve, and nighttime.

By default, the view will group all orders by the order category. In addition to viewing the orders grouped by category, users may select to view the order list grouped by Order Set. In order to adjust the grouping, click on the combo box for the 'Group By' field. Two options will be available: (1) Category and (2) Set. Select the Set option from the available list and then click the View Report button. The orders will now be grouped by order set.

 

 
 


 

 

 

Summary View

The summary view will list all orders grouped by the order type / category. The view includes the following information for each order: order date, service date, the user who ordered the procedure, the procedure name, and the status.


 

 

 

 

Detail View

Reports

Description

The Reports view is a two part view that contains (a) summary list of reports associated to the visit and (b) links to the report document. Radiology images and ITS reports may both be included in this view, depending on what applications are utilized by the organization.

 

 

 

How to Use

Click the Reports menu item from the left panel. Please note that the menu name for this view may appear differently at your organization. The menu names are customization and depending on the organization's request this menu item may also be listed as Radiology Reports. The icon utilized, regardless of how the menu item is named, will appear as the below.

 

 
 


 

Upon accessing the view, all reports and images will be displayed for the currently accessed patient visit. To view the report document or image, click on the available image in the 'Rpt' and 'Img' columns. If both a report and an image is available for the listed exam, then an icon will appear in both columns. If an icon is not available in either column, then this indicates that either the report or image is not available for the record.

In addition, users may access the history for any document by clicking on the available icon in the 'Hx' column.

 

 

Summary View

The summary view will list all documents sorted by date and time where the most recent documents are displayed first. The list of documents includes the report date, exam report name, tissue/code, the user who dictated the report if applicable, the dictation date, and history details.


 

 

 

 

 

Detail View

When available, click the icon in the 'Rpt' column to access the report for the listed document. Upon clicking the icon, the report will be displayed.

When available, click the icon in the 'Img' column to view the image for the listed document. Upon clicking the icon, the image will be displayed in a pop-up window using the associated application based on the type of image.

Scanning & Archiving

Description

The Scanning & Archiving view is a two part view that contains (a) list of all scanned images from either MEDITECH's scanning and archiving solution and/or other solutions as contracted, and (b) links to the image.

 

 

 

How to Use

Click the Scanning & Archiving menu item from the left panel. Please note that the menu name for this view may appear differently at your organization. The menu names are customization and depending on the organization's request this menu item may also be listed as Scanned Images. The icon utilized, regardless of how the menu item is named, will appear as the below.

 

 
 


 

Upon accessing the view, all scanned images will be displayed for the currently accessed patient visit. User may easily view all images (pages) associated to a document by clicking the hyperlink. In addition, the users may drill into each document link in order to see and/or view individual pages. A check-box is also available for printing so that users may select the desired documents to print. A pdf document will be created for printing that combines all selected documents together into one view.

 

 

 

Summary View

The summary view will list all scanned images for the currently accessed patient visit. The list of images includes the type of document, the name of the document, the date the image was scanned, the number of pages, and a link to the document image. By default, the primary hyperlink for the document will open the scanned document with all pages included for multi-page documents.


 

 

If desired, individual pages may be viewed versus viewing all pages together. In order to see a listing of the individual pages associated to the document, click on the plus sign (+) that is available to the left of the link. A list will be presented showing the individual pages. Click on the desired page link in order to view the image for the selected page.

 

 
 


 

Click the available hyperlink in the 'Link' column to view the desire image. The document image link will be formatted in bold indicating that it is a hyperlink. Upon clicking the link, the image will be displayed in a next tab using the associated application based on the type of image. When viewing all pages together as a single document, the document will be stored as a PDF document.


 

Printing Scanned Documents

The view provides functionality for printing one, more than one, or all documents associated to the current visit. By default, all documented will be checked for printing. In order to exclude any documents from printing, uncheck the checkbox in the 'To Be Printed' column.

 

 
 


 

Note: You may easily uncheck and check all listed documents by clicking on the checkbox to the right of the 'To be Printed' label.

Once the desired documents are selected (the checkbox is checked in the 'To be Printed' column), click on the 'Print Documents' button located at the bottom of the page.

 

 
 


 

The solution will combine all selected documents into one PDF file for printing. Once the PDF document is created, you will be prompted to open the document:

For Chrome, a box will display in the bottom left corner of the browser with a link to the document. Click on the link and the PDF file will open.

OM Order Set

Description

MEDITECH offers a downtime report for the OM Order Sets. However, many sites are not able to fully utilize this due to collapsed information that cannot be expanded and due to missing key questions that must be asked during a down-time based on CDS screens associated to the orders. As a result, IPeople offers a downtime OM Order Set solution that presents all order information with options and includes the CDS questions at both the category level and the procedure level.

 

 

 

How to Use

The order sets can either be viewed and printed two ways (1) individually where they are not associated to a visit or (2) the order set is associated to a visit. In the scenario where the order set is associated to a visit, a patient header will automatically be included on the report prior to printing. As a result, there are two ways in which the order set functionality can be accessed.

 

Option 1: Access Order Sets Not Linked to a Visit

 

Click the OM Order Set option that is available under the Patient Lists menu (available at the top of the screen)

 

 
 


 

 

Option 2: Access Order Sets and Link to the Current Visit

 

Once a visit is selected, click on the OM Order Set menu option that is available on the left side of the screen where the other clinical views are located.


 

 

 

 

Step 1: Search for the desired Order Set

Upon selecting the OM Order Set option (from either location), a form will be displayed where all active order sets are listed by default. The following search options are available in order to find the desired order set:

 

·         Search by Name: Enter the name or partial name of the order set that you would like to preview/print

·         Facility: Select the desired facility from the available drop-down list

·         Search Type: By default, this option will be set to show standard order sets. If you would like to preview a personal order set, then select 'Personal' from the available drop-down list. To search both standard and personal order sets, select 'Both' from the drop-down list

·         Personal For: When searching for personal order sets, you may filter the order sets for a specified user. The drop-down list will present a list of all users where personal order sets are defined.

 

After entering the desired search criteria, click the 'View Report' button in order to filter the list. The list of presented order sets will be adjusted based on the

search. Click the back button available from the toolbar in order to return to the search form.


 

 

 

 

 

 

Step 2: Select the desired order set

To access the desired order set, click the available hyperlink for the 'Name' column. The hyperlink will be bold and underlined. Upon clicking the hyperlink, the order set will be displayed in a new page.


 

 

 

 

About the Order Sets

·         Based on the dictionaries, options presented in the order set can be checked by default. You may uncheck or check any options prior to printing. When an option is checked or unchecked the form will reload with the new information.


 

 

·         By default, all categories and options will be automatically expanded. Groups of information can be collapsed if desired prior to printing. To collapse information which will result in the options being hidden, click on the minus sign (-) located to the left of the category or order.

 

 

 

 

 

 

 

 

·         Custom defined questions associated to the order will be included on the report. This allows users to answer critical questions required for the orders during a down-time.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

·         Protocol text can be included for all orders. If included, the protocol text will be displayed at the bottom of the report after all order information. In order to exclude this information from being shown, change the 'Include Protocol Text?' prompt (at the top of the report) to No and then click the View Report button. Oncology Treatment Plan

Description

The Oncology Treatment Plan view is a multi-page view providing read-only access to diagnosis data, treatment plans, and cycle data for the current visit. In addition, users may view citation and protocol information for the assigned treatment plans.

 

 

 

How to Use

Click the Oncology Treatment Plan menu item from the left panel.

 

 
 


 

Navigation: Upon accessing the view, all data will be grouped by diagnosis, treatment plan, and cycle. To expand any grouping, click the "+" in the first column where the data is displayed. To collapse the details for any group, click the "-" that is available when the grouping is expanded.

Hyperlinks: Hyperlinks are available allowing the user to access additional details. Click on the bold and underlined hyperlink in the grid in order to access the details for a specific type of hyperlink. The following hyperlinks are available:

 

·         T - view treatment plan details

·         P - view plan protocols

·         C - view plan citations

·         CV - view cycles

 

Sort Options: You may sort the list of information multiple ways using the Sort indicator that is available for each column name. Click on the indicator to either sort the column in ascending or descending order.

Filter Options: By default, the view will exclude any reusable or reused cycles. In order to show these cycles, change the value from No to Yes for the 'Show Reusable/Reused Cycles' field located at the top of the page. You may take advantage of the available drop-down to change the value. Upon completion, click the 'View Report' button to the right of the field in order to re-load the information presented.

 

 
 


 


 

 

 

Summary View

The summary view presents the diagnosis, treatment plans, and cycles assigned to the current patient visit. The available details include the start and end dates for the cycles as well as the status.

Description

The Oncology Chemo Orders view is a multi-page view providing read-only access to order information (past and future) for the current visit. In addition, hyperlinks are available for viewing order details as well as citation and protocol information for the assigned treatment plans.

 

 

 

How to Use

Click the Oncology Chemo Orders menu item from the left panel.

Oncology Schedule

Search for Oncology Scheduled Appointments

The IPeople Offline solution includes the ability to find visits easily based on oncology scheduled appointments. From the available form, you may search for appointments that are scheduled for a specified timeframe. After specifying the desired timeframe (the default is the current date) and performing the search, a list of appointments will be displayed.

 

 

 

Accessing the Oncology Schedule View

 

 
 


Users with access to this function will see a menu item available under the 'Patient Reports' menu called Oncology Schedule (located in the top right of the page). Click the 'Oncology Schedule' option from the available menu options. Once this option is selected, you will be presented with the Oncology Schedule form. The option to access this search form is available from any page in the Offline views.


 

 

Find Appointments Using Search Options

You can produce a list of patients with Oncology appointments during a specific time frame by utilizing the “From date” and “To Date” options to specify the date range.

 

 
 


 

Click on the calendar icon available for each field in order to access the calendar control for each date selection. The following functionality is available from the date control:

Click to move to previous months Click to move to future months Click to select today's date

Click to change the time

Click to close the calendar control

Once the desired criteria is specified, click the Search button and you will be presented with a list of appointments matching the criteria.

 

 
 


 

 

 

 

View Oncology Appointment Details

Hyperlinks are available from the summary view for the following:

 

·         Acct Number Hyperlink: Click on the available hyperlink for the desired account number in order to launch the Offline views for the selected visit. The

·         Patient Name Hyperlink: Click on the available hyperlink for the desired patient in order to view a list of all Oncology appointments scheduled for the patient. A form will be displayed as a pop-up providing the following details for the patient's scheduled appointments:

o    Insurances with policy numbers

o    Location

o    Provider

o    Resource

o    Status

·         Cycle: When selected the order set for the selected treatment plan and cycle will be displayed.

 

For each column, the hyperlink will be bold and underlined. Upon clicking the hyperlink the order set will be displayed in a new page. Click the back button available from the toolbar in order to return to the search form.

Batch Print

What is Batch Print?

Offline Views Batch Print allows users to print all available information from the Offline Views for a Patient Encounter to a single PDF file. The generated PDF file can be printed or downloaded and transmitted for Legal Record or Request for Information purposes.

A hospital may choose to limit Batch Print functionality to a selected user group as needed.

 

 
 


 

Accessing Batch Print

 

 
 


Users with access to this function will see a menu item in the top right of the page called Patient Reports. This option displays a list of available report options, including an option for Batch Print. This menu item is available from any page in Offline Views.

Click the 'Patient Reports' option from the available menu options found in the top right corner of the Offline form. Once this option is selected, you will be presented with a list of available report options. Select the 'Batch Print' menu option from the list and you will be presented with the Batch Report form.

 


 

2.        Enter required Account Number(s) in the space provided and click ‘Verify and Queue Accounts’. The entered Account Numbers will be validated and added to a queue. The bottom half of the screen shows all items currently in the queue. Any invalid account numbers will be indicated with an appropriate comment in the Message column. In addition, if you would like to be notified via email upon completion of the batch generation, enter a valid email address in the available email field.

 

 

 

 

 

 

 

 

 

 

 

3.        If desired unselect any views that you do not want to include for the current visit when the batch print results are generated. By default, all contracted views will be selected. You may select or unselect any views as needed using the available check boxes. Click the available 'Select All' option in order to unselect and select all views.

 

 
 


 

 

4.        The print queue will automatically refresh after 'x' seconds in order to reflect the latest status. The entered Account Numbers will show in the queue with their current status. Only current user’s entries are shown in this list in full.


 

Other users with entries that are processing will appear with hidden Account Numbers and Patient Names.

 

 

 

 

5.        After completing submitted Account(s), the Account Number and Patient Name columns will turn in to clickable hyperlinks for completed reports. Click on the Account Number or Patient Name to view the generated PDF file.

6.        You may be presented with a prompt to download and view the PDF. Click ‘Open’ to view the file or ‘Save’ to download and save the PDF.

 

 

 

7.        The report begins with basic Patient Demographic details followed by each View. See bottom center of each page for the current and total number of pages in each view. 8.        You may also Cancel a currently queued item or Delete a completed item from Batch Print queue. Clicking the ‘Status’ column allows you to Re-process, Cancel, or Delete an item in the queue. Clicking the ‘Batch Id’ column allows you to do the same for the whole batch.


 

 

 

 

Note to Users

 

·         Only a limited number of requests are processed at a time. If your request is in ‘Pending’ status for several minutes, it is due to another user’s requests that are being processed. Your Batch Print requests are visible in the list. Other users’ Batch Print requests will appear in the list while they are pending or processing. You will see ‘****’ in place of patient PHI for the other users’ requests.

 

·         In extreme cases, Patient Encounters that span many days could result in very large files that run in to thousands of pages. These requests could take a few hours to complete.

 

·         While Batch Print contains the same information as your on-screen views, there will be differences in formatting and layout as Batch Print reports are designed to fit a letter sized page in landscape orientation.

 

 
 


 


 

MAR by Location

What is the MAR by Location Feature?

Offline Views MAR by Location feature allows users to print the current MAR report for all patients in a specified location. The generated PDF file(s) can be printed or downloaded as desired.

 

 
 


 

Accessing MAR by Location

Users with access to this function will see a menu item in the top right of the page called Patient Reports. This option displays a list of available report options, including an option for MAR by Location. This menu item is available from any page in Offline Views.

Click the 'Patient Reports' option from the available menu options found in the top right corner of the Offline form. Once this option is selected, you will be presented with a list of available report options. Select the 'MAR by Location' menu option from the list and you will be presented with the MAR By Location form.

 

2.        Select the desired location by clicking on the 'Select Location' combo box and the select the location from the available list. The bottom half of the screen displays all patients for the selected location. The patient listing will include details such as room/bed, account number, patient name, date of birth, gender, length of stay, and admit date and time.

 

In addition, you may filter the list of presented patients using the 'Search All Columns' field. Simply enter the desired text that you wish to search for and the list of patients that are displayed will be filtered accordingly. For example, if you wish the find a specific patient, then enter any part of the patient's name in the available search field and the filter will be executed.


 

 

 

 

 

 

 

 

 

 

 

 

 

3.        Select the patients where you wish to print the MAR. If you wish to print the MAR for only specific patients for that location and not all patients, then click on the checkbox to the left side of the patient record in the list. If you desire to print the MAR for all patients found for the location, then click the checkbox to the left of the Location label in the grid. 4.        After selecting the patients, click on the Print MAR button. You may enter an email address where a notification can be sent informing you that the print has completed for all selected patient. The display will also show the number of accounts selected to print. Click the Yes button to continue and print the MAR for all selected patients. Click the No button if you do not wish to continue.


 

 

5.        You may access the list of printed MARs and see the status of the print jobs by clicking on the 'Printing Status' tab that is available at the top of the form. After selecting the tab, the list of all patients will be presented along with the process start time, process end time, and status of the print job.

 

 

 

 

 

 

 

 

 

 

 

 

6.        To view a specific patient's MAR report, click on the hyperlink available for the patient name in order to view the MAR report for the patient. The MAR report will now be displayed. The report begins with basic patient demographic details followed by the patient's allergies and then followed by the medication details. The details presented for each medication includes the drug name, dose, route, frequency, the start date and time, the next scheduled date and time when the medication should be next given to the patient, and the actual date and time when the medication was last given. A section is also available at the bottom of each page providing an area for the nurse to sign that the drug was given to the patient. The signature area provides signature lines for daytime, eve, and nighttime.

 

Click on the print icon to print the MAR to a printer or click on the Save icon to save the report to a file.


 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

7.        You may select to print the MAR reports for all patients found for the location (in the batch) at one time. In order to print all of the reports at one time, click on the printer icon that is located to the right of the Batch ID. Upon selecting this option, the solution will create one PDF file which combines all of the individual MAR reports for all patients for the batch (each patient report will start a new page in the combined document). The PDF file will be presented for viewing and then the user may select to print to a specified printer or download to a file.
