This tipsheet is to help support end users who are registering or scheduling patients in
Expanse as it pertains to the Family Provider Field. It is for addressing the Family Provider field when a mnemonic is present and not the physicians name.

Incorrect entry contains Mnemonic

These C/S mnemonics are not able to be read by Expanse correctly as they don’t exist. It will be very
important that this field be updated with an Expanse Dictionary entry.

Correct entry Contains provider’s full name

Updating the information will allow proper distribution of reports/results to the family providers.  If the entry remains the C/S mnemonic, there will be NO distribution to the Family Providers.  This will generate a large volume of print back reports that will need to be corrected by each site.  These corrections are time consuming and will delay distribution of reports/results to the family providers.

Please Ensure you are checking the Family Physician Field and updating it to the new Expanse Name/Mnemonic- Hint- the field shows the Name if it is the new Expanse entry and it will show the Mnemonic as seen below if it needs to be updated.

Follow the Same Process as above when Pre-Registering or Registering appointments in CWS

AMBULATORY MODULE

Use the Reference area to quickly confirm The Family Provider during the Scheduling or before the Check in  Routine in Ambulatory by clicking on the chevron “>” beside the “Care Team” header to expand the accordion.

***It is IMPERATIVE that the Family Provider be accurate BEFORE completing the Check in Routine.***

To Enter or Edit the Family Provider :

1.Select “PT Sum” (Patient Summary) from the top banner:

2.Click on the Patient Data Tab in the right hand reference area to open 

3.Click on Edit beside the Demographic Header 

4. Enter or EDIT Family Physician and click Save
