Bed Allocation Cheat Sheet

 

 

Edit (Changes made will not correct errors – refer to Fix Event Sheet)

  1. Examples: Updating demographics, adding insurance, allergies, contacts, etc
  2. Main Menu
  3. Registration Management Desktop
  4. Single Mode (Right Hand side Menu Buttons)
  5. Edit

 

 

Multi-Transfer (Bed Swap):

  1. Main Menu
  2. Bed Management Desktop
  3. Bed Board
  4. Go to Location
  5. Locate and select the floor (use filter option if you wish)
  6. Right click on the desired patient
  7. Select for Multi-Transfer
  8. Repeat steps 5-7 for the second patient
  9. Multi-Transfer will highlight on the right side Menu Buttons
  10. The two patients populate in a new window
  11. Save and print both if needed

 

OR

 

  1. In Bed Board - click on patient #1
  2. Drag and drop to other room to get bed swap screen
  3. The two patients populate in a new window
  4. Complete date/time fields and reason
  5. Save and print both if needed

 

OR - if the patients are on the same Worklist

 

  1. Main Menu
  2. Bed Management Desktop
  3. Bed Census worklist
  4. Select worklist
  5. Select (checkmark) 2 or more patients
  6. Multi-Transfer will highlight on the right side Menu Buttons
  7. The patient will populate in a new window.
  8. Delete Transfer Date/Time fields and enter correct Date/Time
  9. Complete Transfer Reason using look up.
  10. Save.

 

OR - if swapping between different floors/units/lodges

  1. Main Menu
  2. Bed Management Desktop
  3. Worklist
  4. Criteria
  5. At location fields, enter location or service and compile
  6. Select (checkmark) 2 or more patients
  7. Multi-Transfer will highlight on the right side Menu Buttons
  8. The patients will populate in a new window.
  9. Delete Transfer Date/Time fields and enter correct Date/Time
  10. Complete Transfer Reason using look up.
  11. Save.

 

Outpatient Bed:

  1. Main Menu
  2. Bed Management Desktop
  3. Single Mode
  4. Outpatient Bed
  5. Select Account Identifier
  6. Select account
  7. Date/time
  8. * Room drop down menu
  9. Use filter to select desired room
  10. Save
  11. ** Review Bed Board and see the Outpatient in the assigned bed with a special indicator **

 

Account Activity:

  1. Main Menu
  2. Registration Reports à Account Activity
  3. Enter Account Identifier (name, account, etc)
  4. Select account
  5. OK
  6. Hit OK again
  7. A preview will be created – select the Account Preview Report

 

Visit History:

  1. Main Menu
  2. Registration Management Desktop
  3. Single Mode
  4. Registration
  5. Select any Registration type
  6. Select Patient Identifier
  7. Select the blue “I” icon next to the account
  8. Scroll to the bottom and select “Visits”

 

RACE call 

3 steps needed

  1. Transfer Routine:
  • Transfer Date/Time: Delete and backdate
  • Transfer Room/Bed and Service. (NBCCU lookup then choose bed)
  • Room Rate= Ward
  • Service = CCU
  • Transfer Reason = Change in Level of Care
  • Save 
  1. Edit Routine: Attending Provider (add one minute to tx time.)

Go to Visit page update Bed Board Comment field: Race Call- date/time.

Save

  1. Bed Management Bed Reservation Routine (to hold the pt’s bed on floor while in CCU):
  • Reservation Date/Time: T/N
  • Room: (room pt left from)
  • Comment: Race Call
  • Confirm Reservation (footer button)
  • Save  Bed Board will show room as empty with a Reserved Bed indicator 

(Click on the key to see who the bed is reserved for.)

 

Return to floor from Race Call and Bed Reserved.

Transfer Routine

  1. Enter Account Identifier
  2. Select account
  3. Date/Time Delete and re-enter correct date/time
  4. At room field: F9 look up, select the reserved bed:

  1. Room Rate defaults as Semi, Ward, Private. If you see Unknown room rate, e-mail Sylvie.
  2. Service: Medicine, Surgical, etc.
  3. Transfer Reason: Change in Level of Care
  4. Save
  5. Edit Routine: Attending Provider (add one minute to tx time.)

 

Patient requires Isolation

  1. Main Menu
  2. Registration Management Desktop
  3. Single Mode (Right Hand side Menu Buttons)
  4. Transfer routine
  5. Enter Account Identifier
  6. Select account
  7. Room Rate field:  Choose Isolation from look up.
  8. Verify Date/Time is correct. Change as needed.
  9. Save.

 

 

 

Patient NO LONGER requires Isolation

  1. Main Menu
  2. Registration Management Desktop
  3. Single Mode (Right Hand side Menu Buttons)
  4. Transfer routine
  5. Enter Account Identifier
  6. Select account
  7. Room Rate field:  Return to previous (old) Room rate.  Can view above Transfer Date/Time field. 

  1. Verify Date/Time is correct. Change as needed.
  2. Save.
